A very successful Watford based solicitor approached Tone Images with a common problem experienced by many paper based organisations - they were literally tripping over tons of archive files !
The Law Society recommends that its members keep files of all property purchases for fifteen years and all property sales for six years. This requirement meant that this solicitor had to keep over 8,000 files (some with over 500 sheets inside!). To cope with this volume the firm had rented space in a self storage facility some distance from the office. To access archive files necessitated a car journey and considerable time to locate and secure the file.
Tone Images met with the business principal, assessed their needs and then produced a demonstration disk with embedded Alchemy software search and retrieval software. Following this the firm accepted the Tone Images recommendation to have all archive files digitally scanned and the data put onto CD's with embedded search and retrieval software.
The files, which often contained large plans and old deeds in poor condition, were collected , scanned and converted to digital format quickly and efficiently. This has significantly improved access to archive data, saved valuable time and eliminated huge storage costs.
